School Policies

General Policies

  • All students and / or their parents / legal guardians must fill out the online application form and agree to the governing Terms & Conditions prior to any package payment. Enrolment will be denied if the student and / or their parent / legal guardian refuses to fill out the online application form and agree to the governing Terms & Conditions and / or provides M.int Academy with false information.

All teaching can only take place at M.int Academy’s premises.

The music instructors at M.int Academy are strictly NOT allowed to:

  1. Divulge personal contact information such as phone numbers, social media accounts and/or email addresses to parents, legal guardians and/or students;

  2. Contact parents, legal guardians and/or students directly via any means;

  3. Meet up with parents, legal guardians and/or students anywhere outside of the M.int Academy premises;

  4. Teach anywhere outside of the M.int Academy premises without explicit prior written consent from the M.int Academy directors.


All students and their parents / legal guardians must also abide by this policy. If any students and/or their parents / legal guardians are found guilty of violating this policy, the student will not be allowed to continue lessons at M.int Academy and all remaining class / package credits will be deemed forfeited.

 

M.int Academy reserves the right to amend any school policy and all terms and conditions without prior notice. The latest version will be on www.mintacademyhk.com.

 

Class Policies (apply to all classes) 

  • All classes and packages are non-transferrable and non-refundable.

  • Every M.int student/parent who refers a new student who is not an immediate family member will receive $500 credit when the new student purchases his/her first private package worth at least $10,000, or $200 credit when the new student purchases his/her first full cycle of Fall or Spring group class. The referee must notify M.int Academy of the referral before the referred student makes any payment, and the referred student must quote the referee’s name when filling out the application form, in order for the referral credit to apply.

Private Trial Class Policies

  • Trial classes must be taken within one month of the date of payment, otherwise the fees will be forfeited. Up to 60 minutes of trial fees can be recredited upon purchase of a private instrumental package worth at least $10,000 within 7 calendar days of the date of the trial class.

  • The time slot during which a trial class takes place shall only be reserved on a one-time basis and that time slot shall under no circumstances be considered as reserved for future classes.

  • Paid Trials:

    • In order for a trial class time slot to be guaranteed, the trial class must be prepaid and the student application form must be submitted. New students may purchase up to 120 minutes of trial class(es), but, regardless of class length, may only take 1 trial class per instrument. For instruments that are taught by more than 1 instructor, a student may take more than 1 trial class for the same instrument but each class must be with a different instructor. All arrangements involving paid trials are subject to availability and the approval of M.int Academy, who retains the final say over all decisions in relation to such matters.

  • Free trials:

    • During our free trial promotional periods, new students who have not taken any private classes or trial classes at M.int, can enjoy up to 60 minutes of free trials. Only 1 trial class per instrument may be taken, regardless of class length. For instruments that are taught by more than 1 instructor, a student may take more than 1 trial class involving the same instrument but each class must be with a different instructor. Students may take 2 classes for up to 2 separate instruments or 2 classes taught by instructors of the same instrument (where available) as long as the aggregate length of such classes is not more than 60 minutes. Free trials are only confirmed upon receipt of the student application form. There is a 48-hour cancellation/rescheduling policy for trial lessons. Trial lessons cancelled within 48 hours of the scheduled lesson time will be considered forfeited. All arrangements involving free trials, including but not limited to the length of free trials, are subject to availability and the approval of M.int Academy, who retains the final say over all decisions in relation to such matters.

  • Complimentary package trials:

    • For students using the complimentary trials that come with their credit packages, only 1 trial class can be taken per instrument, regardless of class length. For instruments that are taught by more than 1 instructor, a student may take more than 1 trial class involving the same instrument but each class must be with a different instructor. Complimentary package trials must be used before the expiration of the package or the completion of the package, whichever comes first. There is a 48-hour cancellation/rescheduling policy for complimentary package trial lessons. Trial lessons cancelled within 48 hours of the scheduled lesson time will be considered forfeited. Complimentary package trials may be given out to friends and/or family members, with the approval of the package holder. All arrangements involving trials are subject to availability and the approval of M.int Academy, who retains the final say over all decisions in relation to such matters.

  • Complimentary group class trials:

    • Group class students can accumulate up to 120 minutes of complimentary instrumental trials through continuously enrolling in full group class cycles. Students will only be allowed to book instrumental trials if they are deemed age-appropriate (in relation to the instrument) by M.int Academy. Regardless of class length, only 1 trial class can be taken per instrument. For instruments that are taught by more than 1 instructor, a student may take more than 1 trial class involving the same instrument but each class must be with a different instructor. All arrangements involving trials are subject to availability and the approval of M.int Academy, who retains the final say over all decisions in relation to such matters.

  • Our Severe Weather policies apply to all trial classes (please see below for details).

Private Class Policies

  • Private packages can be used towards classes across multiple instruments and disciplines (e.g. composition, theory etc.).

  • All private classes and packages cannot be shared with other students (with the exception of the $20,000-credit, $50,000-credit or $100,000-credit packages, which can be shared between immediate family members). For the avoidance of doubt, immediate family members shall only include siblings, parents or offspring. The only exception is where a student is relocating abroad (further details below).

  • Class time slots are booked on a first-come-first-served basis.

  • A student’s time slot will only be considered confirmed once payment has been received by the deadline stated on the relevant invoice. M.int Academy reserves the right to re-assign and/or cancel any unconfirmed time slots where the relevant invoice deadlines have expired. If a student wishes to permanently change to another time slot after his/her original time slot has already been confirmed, such a change is not guaranteed and may only be granted subject to availability and in the sole discretion of M.int Academy.

  • For all private classes, students may only retain recurring weekly time slots if they attend regular classes (i.e. at least three weekly classes within one calendar month during the same time slot with the same instructor). Should the student, for whatever reason, fail to attend regular classes which have been scheduled to take place during his/her regular time slot (including but not limited to failing to attend 50% of classes over a period of 2 months or cancelling classes for 3 consecutive weeks), M.int Academy reserves the right to release that designated weekly time slot to others on the waiting list.

  • Regular time slots for all private classes may not be shortened on a temporary basis regardless of notice period, as the fully allotted time slot has already been reserved. Should the student, for whatever reason, choose to shorten the class, the student will still be charged the full amount for the allotted time slot. If the student wishes to permanently change the duration of the original time slot after his/her original time slot has already been confirmed, such a change is not guaranteed and may only be granted subject to availability and in the sole discretion of M.int Academy.

  • For students who wish to have more flexibility in their schedules and not keep a recurring weekly regular time slot, they may choose to reserve time slots wherever his/her schedule permits, subject to the relevant instructor’s availability. The student or the parent / legal guardian of that student must confirm their acceptance of a time slot in writing (via email, WhatsApp or WeChat) and within 48 hours of that time slot being offered. M.int Academy reserves the right to re-assign and/or cancel any unconfirmed time slots where written acceptance of is not received within the aforementioned 48-hour time period.

  • During peak hours, private classes can only begin on the hour or on the half hour. Requests for other time slots may be fulfilled subject to availability.

  • Progress reports will be provided upon request in writing, up to twice a calendar year, for students who attend regular classes (i.e. minimum of three classes per month).

  • Current M.int Academy students or age-appropriate immediate family members of current M.int Academy students with private packages are entitled to the following (to which the above Private Trial Class Policies apply):

    • total of 30 minutes of complimentary private trial for any instrument for $5,000 package;

    • total of one hour of complimentary private trial for any instrument for $10,000 package;

    • total of two hours of complimentary trial for any instrument for $20,000 package;

    • total of four hours of complimentary trial for any instrument for $50,000 package;

    • total of eight hours of complimentary trial for any instrument for $100,000 package. 

 

Rescheduling & Cancellation Policies (only apply to private classes)

  • Rescheduling / Cancellation Penalties (see exceptions below):

    • 48 hours of given notice or more: no penalty

    • Less than 48 hours but more than 24 hours of given notice: 50% of class deducted from package

    • Less than 24 hours of given notice: 100% of class deducted from package

  • To avoid any miscommunication, all rescheduling and cancellations must be done in writing (via email, WhatsApp or WeChat).

  • M.int Academy does not offer make-up classes or issue refunds for missed classes or no-shows due to a student’s inability to attend for reasons including but not limited to school activities, field trips, family and friend events, or other scheduling conflicts.

  • If the student falls ill and M.int Academy is notified at least 2 hours before the start of class, the class can be re-credited to the student’s account if a same-day’s doctor’s note is provided within 7 calendar days.

  • Any requests regarding make-up classes will be taken into consideration and be fulfilled as long as our schedule permits.

  • There will be blackout periods during holiday seasons, including Christmas, Chinese New Year and Easter, where M.int Academy’s rescheduling and cancellation policies will NOT apply. M.int Academy will send out a form before the blackout period which students of legal age or the parents/legal guardians of students not of legal age must fill in before the deadline stated in the form. Failure to fill in the form by the deadline will result in full class deduction(s) for any cancellations within the blackout period made after the said deadline. The blackout policy is in place to ensure that all M.int Academy staff have a fair opportunity to take annual leave at the same time as when students travel. M.int Academy staff only have limited opportunities to take longer periods of annual leave during the year, other than holiday seasons, as we feel the responsibility to ensure that students have minimal disruption in their musical journey.

 

Expiration Policies (only apply to private classes)

  • Private credit packages are valid for the following periods:

    • $5,000 package: 3 months from date of purchase

    • $10,000 package: 6 months from date of purchase

    • $20,000 package: 12 months from date of purchase

    • $50,000 package: 24 months from date of purchase

    • $100,000 package: 36 months from date of purchase

  • Students may postpone the expiry date by purchasing a new credit package, which will correspondingly extend the validity period of the previous credit package.

  • If a student takes a break from classes for a period exceeding 30 days (for reasons such as studying abroad) and wishes to freeze their package, such a request must be given in writing via email. Packages may be frozen at the sole discretion of M.int Academy and, should approval be granted for a package to be frozen, the expiry date for that frozen package will be extended. 

  • M.int Academy will allow students who need to relocate (including studying abroad) to transfer their remaining classes to a friend or family member. The original expiry date of package/class will apply. A transfer fee will be charged. Please email us at booking@mintacademyhk.com with any such requests accompanied with proof of relocation.

Group Class Policies

  • All group courses must be prepaid in advance. Places are limited in each class and are assigned on a first-come-first-served basis.

  • A minimum enrolment of two students is required for a group course to commence. M.int Academy reserves the right at any time to change instructors assigned to group courses, and to cancel group courses due to insufficient enrolment.

  • If a student cancels a class by giving at least 48 hours’ written notice, there will be no penalty for such cancellation and the class will be re-credited to the student’s account. In a single cycle, a maximum of 20% of class credits may be saved for reasons other than illness. If a student falls ill and M.int Academy is notified at least 2 hours before start of class, the class can be re-credited to the student’s account if a same day’s doctor’s note is presented within 7 calendar days. Students may request, in writing, to attend a make-up class in the same week where the same materials are being taught, subject to availability.

  • If a full cycle has been purchased, any saved class credits must be used in the next immediate complete cycle of group courses and will be subject to price adjustments (if any). If individual classes (i.e. not a full cycle) have been purchased, any saved class credits must be used within the current cycle of group courses and cannot be rolled over to the next cycle.

  • If a student decides to discontinue the course after the course has commenced, refunds will not be issued and credit may not be transferred. Any remaining credit may only be used in the next immediate cycle of group courses subject to price adjustments (if any).

  • A progress report will be provided to each student with at least 80% attendance upon completion of a full cycle of a group course.

  • Upon completion of a full cycle of a group course, age-appropriate students are entitled to one non-transferable complimentary 30-minute private instrumental trial class (to which the above Private Trial Class Policies apply). A maximum of up to 120 minutes of complimentary trials may be accumulated.

Payment Policies

  • Full payment must be received by the deadline specified on the invoice in order for the trial/private/group class slot to be confirmed.

  • Payment can be settled by cash, cheque, bank transfer, FPS or via Visa, MasterCard or UnionPay:

    • By Cash: Please pay in cash at the M.int Academy Reception. M.int Academy will not be responsible for any loss of cash payment sent by mail.

    • By Cheque: Please make crossed cheques payable to “M.int Academy Limited”. Post-dated cheques will not be accepted.

    • By Bank Transfer: Please transfer to Shanghai Commercial Bank account number 025-328-24-29542-9 (Account Name: M.int Academy Limited). Please send a screenshot or copy of the bank-in slip for all bank transfer payments.

    • By FPS: Please transfer to 4182523 (Account Name: M.int Academy Limited).

    • By Visa, MasterCard or UnionPay: Please pay at the M.int Academy Reception. Minimum purchase of $800 is required for a credit card transaction.

  • M.int Academy is unable to provide refunds in cases of overpayment. The extra credit may be used towards payment of other classes within 3 months of the original date of payment.

Refund Policies

  • All M.int Academy classes and packages are non-refundable. Students, parents and/or legal guardians are asked to check their schedules before booking a regular timeslot, as an alternative cannot be guaranteed.

  • If a course has to cease and can no longer operate after its commencement and no replacement course can be agreed between M.int Academy and the student, M.int Academy will refund the fees on a pro-rata basis. 

  • If a group class is cancelled or postponed due to insufficient enrolment, refunds will be issued.

 

Punctuality

  • Students are expected to have their instrument and/or lesson materials ready at the start of the lesson.

  • If a student, for whatever reason, arrives late for a class, the duration of the class shall not be extended accordingly and shall not exceed the allotted time. No refund or credit will be given and the student shall be deemed to have attended the class for the entirety of the allotted time.

 

Usage of Practice Rooms

  • If a student arrives early and would like to warm-up, a practice room may be provided upon request, subject to availability.

  • Regular private instrumental students are allowed to use practice rooms free-of-charge for up to 1 hour per week, subject to availability and prior approval.

Behaviour

  • Students and their parents / legal guardians / guests are expected to behave in an appropriate and respectful manner at all times and comply with reasonable requests made by M.int Academy staff.

  • M.int Academy reserves the right to ask persons behaving inappropriately to leave the premises immediately.

  • M.int Academy reserves the right to disallow a student to continue lessons if the student and / or their parent / legal guardian does not behave in an appropriate and respectful manner.

 

Injuries and Damages

  • Students and/or their parents / legal guardians / guests agree to waive the right to any legal action for any injury sustained on M.int Academy’s property resulting from normal lesson activity or any other activity conducted by the students before, during, or after lesson time.

  • M.int Academy is not responsible for any items lost or stolen on our premises for any reason whatsoever. Students and their parents / legal guardians / guests are solely responsible for the safekeeping of their personal belongings on our premises.

  • M.int Academy reserves the right to claim in full any damages, costs, losses and expenses arising from any damage to the properties of M.int Academy caused directly or indirectly by the student and/or their parents / legal guardians / guests.

 

CCTV Cameras

  • For safety, security and other relevant reasons, CCTV cameras are in operation within the M.int Academy premises including but not limited to the reception and waiting area, classrooms, and private teaching studios. All personal data collected will solely be used for safety, security and other relevant purposes and will not be shared with any third party.

  • Students and their parents / legal guardians have the right to request for footage of students’ classes. Such request must be made via email (info@mintacademyhk.com) within 7 calendar days of the relevant class.

 

Severe Weather Policies

Tropical Cyclone Warning

  • Signal No.1

    • All classes will proceed as normal.

  • Signal No.3

    • Pre-school and kindergarten students may cancel private classes free of charge with at least an hour’s notice.

    • All group classes will proceed as normal, unless otherwise notified via WhatsApp, WeChat or email two hours before class.

    • All classes will proceed as normal for primary and secondary school students and above.

  • Signal No.8 and above

    • All classes will be cancelled and/or rearranged free of charge. Classes will resume two hours after the Tropical Cyclone Signal No. 8 is cancelled or reduced to a lower signal.

    • All rescheduled classes shall take place at a time and date prescribed by M.int Academy. If students cannot attend the rescheduled classes at the given times, then there will be no additional re-scheduling or refund for the classes.

 

Rainstorm Warning Signal

  • Amber

    • All classes will proceed as normal.

  • Red

    • Pre-school and kindergarten students may cancel private classes free of charge with at least an hour’s notice.

    • All group classes will proceed as normal, unless otherwise notified via WhatsApp, WeChat or email two hours before class.

    • All classes will proceed as normal for primary and secondary school students and above.

  • Black

    • All classes will be cancelled and/or rearranged free of charge. Classes will resume two hours after the Black Rainstorm Warning is cancelled or lowered.

    • All rescheduled classes shall take place at a time and date prescribed by M.int Academy. If students cannot attend the rescheduled classes at the given times, then there will be no additional re-scheduling or refund for the classes.
